Reservation Policy
It’s helpful from time to time to review our reservation system and advise you of what works best for the busy group of volunteers who put these events together.
Best Practices
■ Respond to the first email – we send reminder emails, but the last one is so close to the event, it doesn’t give us as much time to prepare
■ Reply to the email versus mailing in your reply
■ Use your Club member number instead of cash or check
■ Tell your friends about the event and have them contact us with all their details
■ Make sure your information is current so you can get the latest updates
Seating Procedure
We try to keep things simple, and to have as few rules as possible including our seating arrangements. Except for a reserved table for the speaker, their guests, and financial sponsors of the meeting – we’ve had open seating. First come, first seated. No rules.
Unfortunately this system has had some weaknesses. Some attendees have been inconvenienced and dinner has been delayed by a lack of seats. So, we have slightly amended our procedures to improve this.
We’re open to alternative ideas and welcome your input.
■ In addition to the expected number of attendees, we will have the Club set up an extra table to accommodate any overflow so that everyone can be seated with little delay.
■ We will retain the concept of open seating, with some changes:
■ The speaker’s table will be reserved as before.
■ Any attendees that wish to reserve a table for 8 – 10 prepaid individuals (in advance) can have a separate table reserved.
■ At registration, blank cards can be provided for you to use for seating at a specific table. Just write in your name and place the card where you intend to sit. Earlier arrival will better assure that couples wanting to sit together can do so.
It is always helpful to make reservations early after receiving the LSP invitation, to check in at registration early, to take seats at tables that are already partially filled, and avoid leaving single isolated seats empty if possible.
